What an Itemised Quote Contain

Shipping cost is the question overseas buyers ask first, and the one that is hardest to answer with a single figure. Two parcels of the same weight can carry very different freight charges once the route, the destination and the contents are taken into account. As a sourcing agent, Linkwork answers with an itemised quote: a line-by-line breakdown in which the item, the service fee and the freight are never rolled into one number. The format is deliberate. It lets a buyer test each charge against what it pays for, and it makes the point at which payment begins unambiguous.

Why a freight figure cannot come from a product photo

International freight is priced on chargeable weight, which is the greater of actual weight and volumetric weight. Volumetric weight is the parcel's length multiplied by width and height, divided by a divisor set by the carrier. For air express that divisor commonly sits between 5,000 and 6,000 cubic centimetres per kilogram, though it varies by carrier and service. A light but bulky item, such as a duvet or a lamp shade, can therefore cost more to ship than a denser item that weighs twice as much.

Route and destination add two more variables. Air express, air economy and sea freight carry different rates and different transit times, and a remote postcode may attract a surcharge that a city address does not. Product attributes matter as well: liquids, powders, magnets and batteries face carrier restrictions that can remove the cheapest route from the list. None of these inputs are visible in a product photo. That is why an estimate given before the goods reach the warehouse is marked as indicative, and why the freight line is confirmed against measured weight and the route actually available.

What an Itemised Quote Contain

The lines inside an itemised quote

The first line is the item price. It states the exact model, size, colour and quantity the buyer approved, which matters when a listing offers several variants at different prices. Where a seller coupon is available at the time of purchase, the quoted price reflects the amount actually paid rather than the listing price.

The second line is domestic shipping, the cost of moving the goods from the seller to the Linkwork warehouse in China. Some sellers include this in the item price and some do not, so it appears as its own line instead of being assumed.

The third line is the service fee for sourcing and buying. It is stated as its own amount. A buyer can compare it with the item value without having to subtract one blended figure from another.

Inspection sits alongside these costs rather than hiding inside them. Goods are opened and photographed on arrival through the check with photos step, and the images go to the buyer before the parcel is consolidated. A mismatch in size, colour or quantity is easier to raise at that point than after international dispatch.

Consolidation and packing form the fourth group. Combining parcels from several sellers into one shipment can reduce the number of minimum charges and, after excess packaging is removed, the volumetric weight. Packing materials and any special protection are quoted before the work is done.

The fifth line is international freight, calculated from chargeable weight, destination and the route selected. Import duties and destination taxes are not part of the quote; they are assessed at the border and remain the buyer's responsibility.

Where parcel consolidation changes the arithmetic

Parcel consolidation is the part of the quote with the largest legitimate swing, in both directions. One shipment built from five seller parcels usually avoids five separate international minimum charges. Repacking can also shrink the outer dimensions, and because volumetric weight is driven by dimensions, a smaller box can lower the chargeable weight even when the goods weigh the same.

The saving is not guaranteed. Fragile items may need individual protection that adds volume. Batteries and liquids may have to travel on a route with a higher rate. Splitting a consignment can be cheaper than combining it when one part is urgent and the rest is not. A useful quote shows the consolidated option next to the split option so the trade-off is visible in numbers.

What confirmation commits, and when money moves

The sequence starts with an inquiry that names the product, quantity, destination country and any specification the buyer cares about. The reply is a quote, not an invoice. No payment is taken at this stage and no order is placed with any seller.

The buyer then reviews the lines, asks for changes, and confirms. Only after that confirmation does Linkwork buy the goods and collect them at the warehouse. Payment follows the confirmed amount, which is why the order of events matters: the buyer is not funding a purchase that has not been priced.

Typical fee levels published on a pricing page are guidance, not a binding rate. The confirmed quote governs the specific order, because item prices, domestic shipping and freight availability change between one order and the next. If a seller's price or stock position differs at the point of purchase, the change has to be raised with the buyer before the order proceeds. A quote that is fixed in writing only works if both sides treat it as the reference point.

After the goods arrive and are checked, the parcel is weighed and measured, and the freight figure is settled on that basis. Dispatch happens after the buyer approves the route and the final shipping cost.

What a buyer should verify before approving

Four details decide whether a quote will hold. The first is the exact variant and quantity, since a quote for the wrong size is not a price for the goods wanted. The second is which costs are included: item, domestic shipping, service fee and packing should each appear as a separate line. The third is the shipping route and its transit estimate, which is counted from the day the shipment leaves the warehouse, not from the day the order is placed. The fourth is the treatment of duties and taxes at destination.

An itemised quote does not make international shipping cheap. It makes the number auditable, line by line, before any money changes hands. Buyers who want a figure for their own order can send the product name, quantity, destination and requirements, and receive a breakdown to review before deciding whether to proceed.
